Application Development Application Development l (Release 4) Module A: Designing Notes Applications Lesson 1: Introducing Notes Applications Lotus Notes applications allow groups to communicate with one another so users can create and access document-oriented information on LANs, WANs, Internet channels, and dial-up lines. About the structure of an Notes application: Every Notes application includes at least one database, each Notes database incorporates three basic components: documents, forms and fields, and views and folders. In addition, navigators, actions, formulas, and scripts play an important role in making an application easier to use and adding sophisticated automation and processing power. Which business processes benefit from Notes applications? Lotus Notes Application is an implementation of data and programs that supports a business function or purpose. Notes applications let us create, communicate, share, and track document-oriented information across networks and dial-up lines. Notes applications are generally one of the following types of applications: 1) Discussion applications: Provide a forum in which users can exchange information on topics of common interest. 2) Broadcast applications : Provide information to a variety of people. 3) Reference Applications: These provide a library of shared information that can be updated as necessary. (like broadcast applications, provide information, but are less time-sensitive.) 4) Approvals Applications: These provide an eletronic method for reviewing information or approving requests. 5) Tracking applications: allows many users to contribute to an ongoing collection of information to profile or monitor some aspect of the group environment. Databases: A database is a collection of related information stored in a single file. Documents: is a collection of data that was created using a form. Data can also be entered in to the document programmatically, using formulas. Forms : The form is the fundamental design element in a Notes database. A form is a document template that provides a structure for entering data. After data is entered into the form, the information is stored as a document in the database. Fields : A field is an area on a form that contains a single type of information ---text, rich text (capable of storing a varity of type styles, graphics and multimedia objects), multiple-choice lists called keywords, numbers, times or dates and user names. Views : Views display document summaries in rows and columns so users can find the documents they want to read. (A view is a list of the documents in the database that is organized in a particular way. ) folders : Shared folders, like views, display a list of documents in a row and column format. Unlike views, folders do not have a selection formula to collect document automatically; users must manually move documents into folders. Navigators: Navigators provide a graphical way for users to find documents or take actions without having to maneuver through views or find menu commands. Formulas,Script : Underlying Notes applications are formulas and LotusScript programs that can define the contents of documents and views, determine how data is displayed, and perform complex workflow and automation tasks. Agents,Actions: Database agents and form, subform, view, and folder actions are all design features that can add automation to any application.
